ECS is seeking a Recruiting Operations Coordinator to work remotely . Overview The Recruiting Operations Coordinator supports the execution of key recruiting processes, with a primary focus on offer coordination, reporting support, and operational activities across the hiring lifecycle. This role partners closely with Recruiting and Human Resources to ensure a consistent, accurate, and efficient candidate experience. This position is ideal for an early-career professional with experience in HR or recruiting operations who is detail-oriented, process-driven, and comfortable managing multiple priorities in a fast-paced environment. Key Responsibilities Support the administration of the offer process, including drafting, coordinating, and tracking offer letters in partnership with Recruiting and Human Resources, ensuring accuracy, timeliness, and adherence to internal guidelines Manage and execute the employee referral workflow, including intake, tracking, routing referrals to appropriate recruiters, and maintaining accurate documentation within internal systems (e.g., SharePoint) in alignment with established processes Coordinate and track requisition approvals, ensuring all required approvals are completed accurately and in a timely manner prior to job posting and throughout the hiring lifecycle Perform job posting audits across internal systems and external job boards, ensuring postings are accurate, compliant, properly formatted, and aligned with organizational standards Assist in managing candidate transitions from selection through offer acceptance and onboarding coordination, helping ensure a smooth and professional candidate experience Maintain accurate and up-to-date records within the Applicant Tracking System (ATS), ensuring all candidate and requisition activity is properly documented Support the preparation, validation, and distribution of recruiting reports and metrics, including pipeline activity, time-to-fill, and offer tracking, and fulfill ad hoc reporting requests from Recruiting Leadership Assist with job posting management across internal systems and external job boards, ensuring positions are accurately represented and aligned with recruiting priorities Provide operational support across recruiting workflows, including process tracking, coordination of activities, and follow-up on outstanding items Contribute to the maintenance and organization of recruiting documentation, including standard operating procedures (SOPs), templates, and process guides Partner with Recruiting Operations team members to support ongoing process improvements and operational initiatives Respond to requests from Recruiting Leadership and team members, supporting ad hoc projects and operational needs as required Hourly Rate Range: $24.04 - $28.85 General Description of Benefits Qualifications 3+ years of experience in HR, recruiting coordination, or a related operational support role OR a Bachelor’s degree with at least 1 year of relevant experience supporting HR, recruiting, or structured operational workflows Hands-on experience supporting or coordinating offer processes, onboarding workflows, or HR-driven approvals (e.g., requisition approvals) Experience managing or supporting structured workflows (e.g., referrals, approvals, or similar operational processes) Strong organizational skills with the ability to manage multiple priorities and meet deadlines High attention to detail with a focus on accuracy, data integrity, and process compliance Experience working with an Applicant Tracking System (e.g. ADP, Workday, iCIMS, Taleo, Greenhouse) Proficiency with Microsoft Office Suite (Excel, Word, Outlook), with ability to support reporting and data tracking Strong written and verbal communication skills, with the ability to interact professionally with internal stakeholders Ability to work independently while also collaborating effectively within a team environment
